Family gathering planning
- Proposed dates: October (Columbus Day weekend) was discussed—specifically Oct 9–11 was mentioned, but Joseph noted the date still needs to be confirmed.
- Cabin plan: The group wants to collect commitments first, then check what cabins are available (since availability and total cost depend on headcount and room needs).
- Room needs request: Everyone should share how many rooms they need and how many people per room (rooms may sleep 1–4 depending on bed/futon setup).
Decisions & agreements
- $100 deposit per room to show you’re serious about attending.
- Target check-in date: The group agreed to do a headcount/checkpoint around May 15 to see how many deposits are in and what lodging options to pursue.
- Refunds: Deposits are refundable until the group commits money to the venue. Once the group pays the lodging deposit (noted as 40%), refunds stop because the venue deposit will not be refundable.
Next steps
- Everyone: Send your $100 deposit (Zelle preferred) and include a note with your name.
- Everyone: Reply with your room needs (how many rooms + how many people in each room).
- Organizers: After the May 15 checkpoint, review what’s available for the October weekend and come back to the group with cabin options + total cost and timeline for final payment.
- Optional backup plan: If cabins do not work for everyone, the group may also explore a hotel room block so individuals can book on their own.
